2021 Virtual Summer Internship: Archival Collection of Fisk University During the Covid Era

Paul Springer, Jr., served as KU Libraries’ second HBCU Library Alliance Preservation Intern in the summer of 2021. He spent six weeks taking classes online with his cohort, who were each assigned to U.S. research libraries with conservation departments. He also worked with staff at Spencer Library to craft his own archival project. In this post, he describes his experiences.

My name is Paul Springer, a senior history and psychology major at Fisk University. My career aspirations involve me working with students and diversifying the academy. As an aspiring historian, I hope combine interdisciplinary studies to further African Diaspora studies. With interests in popular culture, U.S civil rights history, Nigeria, and a special focus on film, I hope to make connections between Nigerian popular culture and U.S social and civil rights movement in the 20th century. I also wish to get involved with archival work dealing with popular culture materials. I believe that my particular skills could be useful in museums and libraries. Born and raised in Memphis, Tennessee, I hope to make impact in my community through historical research. As the home of the National Civil Rights Museum, my hometown has a prominent presence in African American research and heritage. Creating opportunities, engaging in community, and influencing the next generation are the most crucial components to any career path I choose.

Working with the Spencer Research Library at the University of Kansas, my project looks to collect documents, flyers, programs during the academic semesters that Covid-19 interrupted. So far, I have the written speeches of the Student Government Association president, a program for the Honors convocation, and photos from social media. Due to limited time during the internship, this project continues. My goal is to donate this collection to the Fisk University archives.

2020 Virtual Internship: Archival Practices in Indigenous Communities in a Small Island Developing State (Dominica)

Lescia Carline Valmond served as KU Libraries’ first HBCU Library Alliance Preservation Intern in the summer of 2020. She spent eight weeks taking classes online with her cohort, who were each assigned to U.S. research libraries with conservation departments. She also worked with staff at Spencer Library to craft her own project in Dominica, her home country. In this post, she describes her experiences.

In 2020, I was selected to participate in the Historically Black Colleges and Universities (HBCU) Library Alliance Summer 2020 Internship Program in conjunction with Conservation Services in Kenneth Spencer Research Library at the University of Kansas (KU). The year came with unprecedented challenges that affected this internship. The program was conducted virtually to allow the program to go on. The staff at the Spencer Research Library welcomed my thousand or so questions and further intrigued me with the work that they do.

Meetings were held each week with the directors of the HBCU Library Preservation Alliance as well as conservators and librarians at KU. Every week a new subject area or sub-field ranging from book treatments to environmental monitoring was taught online. (I will admit that I had no idea the amount of work and resources that went into archival practices.) Although I could not be there physically, the staff at Spencer Library were most happy to give me virtual tours and demonstrations of how they used the equipment and where they did their treatments. It is definitely on my bucket list to visit Spencer Library as soon as this pandemic subsides so that I can contribute a hand.

For my personal project, I worked along with Whitney Baker (Head of Conservation Services) and chose to focus on something that is dear to me, the preservation of artifacts and oral histories of the Kalinago people, an indigenous group in the Caribbean. These people are formerly known as the Caribs from which the Caribbean gets its name. However very little is known of them or by them. Personally, with this project I needed to change this dialogue. I too am Kalinago indian and sadly have known very little about my own people, culture, or even our language.

Like many other Amerindian tribes, the Kalinago, as Dominica’s first settlers, were stripped of virtually all knowledge of themselves. Hence, the goal was to create an archival station in the public library where pictures, awards, and books or anything of importance would be stored and made accessible to the people. Whilst we may never know every single detail, learning how far our ancestors came and obtaining as much information as possible is a gift in itself.

In order to retain information, oral history preservation was a focal point in this project. With the assistance of Deborah Dandridge (Field Archivist and Curator of the African American Experience Collections, Kansas Collection) and Letha Johnson (Kansas Collection Curator), an oral history release form and a contract were written for those donating items of interest. From thence, interviews were conducted with many persons who held different roles in society. This ensured diversification in experiences in the Kalinago Reserve rather than only asking the leaders of the community. These recordings were later transcribed for future reference.

Apart from interviews, personal items were contributed to the development of the archival station, as it appeared that almost everyone thought that this project was long overdue. While there existed few conservation practices or materials on the island, whatever resources could be found were utilized. After all, it was the start of a major change. Next, it was important to consider storing the items. I had to take into consideration the humidity of the climate, the placement of the maps (ensuring that they were away from sunlight), as well as controlling the occurrence of pests specific to the tropics. Thankfully this internship afforded me the opportunity to identify much of them and ways in which they can be prevented. To assist with the temporary storage, I employed the use of paper with a neutral pH.

Currently the archival station is housed at the Salybia Primary School, but its intended home is the Salybia Public Library, where the collected materials will be transferred when the library is complete.

To end the summer program, every intern had the opportunity to present their chosen projects to demonstrate what they had learned. Nervous as I was, I was extremely grateful for the knowledge imparted and am even keener on learning more in-depth conservation practices to continue with the archival station in the Kalinago Reserve. The oral history aspect of the project is the most important, given that the essence of all that was captured and will be passed on.

University Archives Internship

During the summer of 2018 I’ve had the opportunity to work in the University Archives at Spencer Research Library as part of a Museum Studies student internship. Since my emphasis is in archival work, my projects throughout the summer covered a variety of related archives topics. Since I was initially hired on as a research assistant for a special project on the Jayhawk, I’ve mostly been working with primary source documents concerning the history of the school and the mascot.

While that project is ongoing, with still many image files to be organized, my internship projects have acted as a general introduction to the functions of the University Archives. I had the opportunity to learn about processing of new materials by working with some new arrivals from the Pi Beta Phi sorority. These materials ranged in date from the formation of the chapter in 1873 to the mid-1970s — over a century of history. Processing involved creating new file boxes to hold scrapbooks, club minutes, chapter histories, signature books, and expenditure records. Other unique documents included calendars, songbooks, programs, membership cards, letters, pledge books, sorority newsletters, and photographs. The much-anticipated opportunity to handle the photographs also introduced me to the process of inter-filing.

The other major project that I was assigned this summer was to create an exhibit to be displayed at Spencer during the month of August. The exhibit would incorporate materials from the Archives and would discuss an aspect of KU history. The topic that I finally decided to use was enrollment — specifically, enrollment before the time of computers. It was a fascinating subject to research, personally having only known a time of computerized college enrollment. It’s easy to forget that the process once had to be done in person, utilizing multiple buildings and a complicated system of codes, cards, and queues. The exhibit will feature various documents related to the enrollment process, covering five decades. My intention is to inform visitors on the evolution of enrollment and registration up to the obsolescence of the punch-card method. I think most of the intrigue will come from that element of obsolescence and the campus-wide chaos that would often ensue every semester.

Additionally, I’ve enjoyed the opportunity to interview and work alongside many wonderful staff members at Spencer Research Library. I want to thank Becky Schulte, Letha Johnson, Whitney Baker, Caitlin Klepper, Meredith Huff, and Marcella Huggard for allowing me speak to them about their positions, responsibilities, and functions within the library.

Peggy Hull Deuell: A Conservation Internship

As the 2014 Summer Conservation intern, I performed treatment on the University’s collection of Peggy Hull Deuell, America’s first female war correspondent. This part of the Kansas Collection is comprised of a wide variety of materials: newspaper clippings from the 19th-20th centuries, manuscripts dating from 1774, photographs, oversized items such as maps, transparent documents, and scrapbooks.

A significant portion of time was taken to wash and alkalize the very brittle and disheveled collection of newspaper clippings. During the weeks performing treatment, I became very familiar with Peggy’s style of writing; her sassy personality and strength of character were true elements in her journalism. As the only records of her reporting, these newspaper clippings are important testaments to not only her personal struggles, but also to the relationship she had with readers of the numerous newspapers she wrote for (including the El Paso Morning Times, Chicago Tribune, New York Daily News, and Cleveland Plain Dealer).

Though Ms. Hull was born in Bennington, Kansas (in 1889), she was hardly the typical Midwestern girl of the late 19th century. She was independent, intelligent, and very restless. It’s surprising then, that she never graduated high school and was intended to settle down and study pharmacy. This path did not last long; with the family’s subsequent proximity to Fort Riley and its soldier population, and Peggy’s eagerness for change, she soon discovered a new career in the form of journalism. The rest you could say, is history.

It was a rocky start for Peggy, who struggled to become recognized in an incredibly male-dominated field. In fact, it took Peggy about 10 years and travels all over the world to finally become an accredited war correspondent. Through her journeys across the U.S., to the Mexican border, and to Paris, London, Siberia, and Shanghai, she was teaching people about the war, current events, and even her everyday life.  It was Peggy’s determination, unrelenting optimism, and quirkiness that I found most exciting about this collection.

My favorite articles are those that interact with the reader: where you can really get a sense of Peggy, the person behind the journalist. Also quite lovely are the assortment of letters between Peggy and unknown correspondences (or rather, named yet unfamiliar). One such letter was even imprinted with what I believe to be Peggy’s lipstick! The smell was still quite intense, and I could just about imagine Peggy sealing the letter with a kiss (something I imagine she’s done for her three husbands)!

Though the process of washing, repairing, and even reading Peggy’s newspaper clippings was intensive and often very entertaining, my favorite conservation treatment with this collection was of the oversized items. The flexibility of the project allowed me to spend time performing more in-depth treatment on a small selection of posters. One of the pieces is an article Peggy wrote about news in Siberia; the document had been pasted to a canvas, which was subsequently painted on the reverse. Over time, the newsprint became very brittle and discolored from both the adhesive and acidity of the material, resulting in a badly damaged article. To treat this object, I first removed dirt from the surface of the paper and then immersed it in a tray of water. After about 5 minutes of soaking in the bath, I was able to carefully separate the newsprint from the canvas. As suspected, the newsprint was extremely fragile and had broken into many pieces over its lifetime.  The canvas backing was discarded and the article was rewashed and alkalized in a separate bath to reduce its acidity. Then, after being dried and pressed flat, I undertook the tricky process of lining the article; in other words, I adhered a thin Japanese tissue to the back of the object in order to add strength and allow for the reattachment of its many pieces. Only when the pieces were reunited could I begin the process of toning papers and filling in missing areas to the overall document. Once treatment was completed, the article could be safely handled and more easily read.

Treatment of the Peggy Hull Deuell Collection was very successful, and I had a wonderful summer working between the Watson and Spencer Research Libraries. Peggy’s collection is also one of the many fantastic features that facilitates our study of war history, and in particular, helps to commemorate the 100th anniversary of World War I. I do think that Peggy would be quite proud of her collection as well!
